How does video conferencing work?
The basic element in a video conferencing network is a device called a CODEC, short for Coder Decoder. This unit receives the audio-video signals from the microphone & camera placed in the VC room, digitizes, compresses and transmits it down a high-speed network. The signals are sometimes transmitted via the Internet as well. All CODECs that are part of the Reliance World system operate on the Reliance VC VPN IP network. They are designated H.323 CODECs that can connect to other H.320 CODECs using Reliance World’s 5 robust multipoint Video Conferencing Bridge located in Mumbai.
How should I go about organizing my video conference?
One of the best ways to start planning for a video conference is to start early. An early start will ensure that you get the date and time of your choice and will enable us to pre-test ISDN points, if any.
If it’s a point-to-point video conference between two Reliance World locations, you could simply call the Video Conferencing Lead for your State to check on availability and make a booking. If it’s a third-party location, you would need to provide a contact number of the technical person at that location. This information will help us obtain the location’s ISDN phone number or public IP address, which will enable us to pre-test the connection and provide support during your video conference.
Organising a multi-location video conference, though slightly complicated, will be handled by your Account Manager or VC Lead. You would need to identify the multiple locations and follow the same procedure for booking.
How many days in advance do I need to book a video conference?
It is advisable to plan and book your video conference(s) well in advance so as to get the preferred location(s) on the day and time of your choice. The minimum time between booking and commencement of the VC should be at least 24 hours. In case of advance booking, you can book a video conference up to ____ days/months in advance.
What are the different types of video conferencing that Reliance World offers?
Reliance World offers point-to-point and multipoint video conferencing.
Point-to-point VC can be between any two Reliance World locations, one Reliance World location and one third party location anywhere in India or one Reliance World location and one ISDN / IP based location anywhere in the world.
Multipoint VC can be between several Reliance World locations in India, one or more of our affiliate network locations abroad and a third party location anywhere in the world or between one or more Reliance World locations, affiliate network locations and one or more ISDN / IP based locations anywhere in the world.
Reliance World has a footprint of 242 locations across 105 cities and towns in India and an affiliate network of 1100 locations in over 90 countries.
What is multipoint video conferencing?
A multipoint video conference is where several locations are “bridged” together to enable a face-to-face meeting between people based in different locations. Bridging requires the use of a special hardware called multipoint control unit.
Multipoint video conferences can be held in several modes.
(i) Auto Switching: The visual display unit automatically switches the audio & video to the site that is speaking / presenting. All other locations see this site in full frame.
(ii) Continuous Presence: Up to ___ sites can see each other. The screen of the visual display unit is divided into ___ parts with each site taking a part of the screen.
(iii) Continuous Presence Lecture Mode. Generally suitable for training / presenting, in this mode, the trainer/presenter will be able to see all locations (like in continuous presence) while each location will be able to see the trainer/presenter in full screen.
How many people can participate from one conference room?
Every Reliance World video conferencing room can accommodate up to 9 participants with 5 in distinct view of the camera.
Why do I need to inform you about the purpose of my VC?
You may be aware that Video Conferencing at Reliance World can be operated in several modes. Letting us know the purpose of your video conference would help us suggest the appropriate video mode and set up the conference rooms accordingly.
How much does a video conference at Reliance World cost?
Reliance World Video Conferencing charges are levied by the hour and by the number of locations connected. These charges include scheduling or reservation fee, use of the video conferencing equipment and the cost of the meeting room and IP/ISDN. The rate per hour is also determined, in part, by the type of membership you have with Reliance World. Taxes will be extra at actuals.
Do I need to coordinate with various Reliance World outlets to schedule my multi-location VC?
No. Coordination between the various locations that you wish to connect to via video conferencing is the responsibility of Reliance World. You only need to inform the participants about the VC and ensure their attendance.
What if someone I wish to include in a video conference is unable to make it to a Video Conferencing room?
He/she can still join in the video conference as a voice-only or audio participant by dialling the Conference Dial-in number from his/her landline or mobile phone.
What is a Conference Dial-in Number?
A Conference Dial-in number is a ___ digit number that enables audio and video participants outside of Reliance World to join the conference by dialling this number from wherever they are. Every conference has a unique Dial-in number that is generated when the conference is booked.
Can I make a PowerPoint presentation on video conference?
Yes. Reliance World Video Conferencing offers you the facility to connect your laptop to share data and make PowerPoint presentations on video conference. You may wish to read about things to keep in mind while creating PowerPoint presentations for video conference.
What is ISDN testing?
Reliance World recommends that all third party ISDN end points be pre-tested through the Reliance World Video Conferencing Bridge to avoid any last minute connectivity issues. It is advisable to conduct the test at least one day before the scheduled Video Conference.
Do I have to pay for an ISDN end-point test?
How long does it take to test one ISDN end-point? Can you simultaneously test multiple ISDN end points?
Do I have to pay for the VC if at the time of testing the ISDN end point, it was successful but at the time of the actual VC there were connectivity issues?
In such a situation, if it’s a point-to-point VC, you will not be charged. However, if it’s a multipoint VC, the connected locations will be charged.
Is it possible to cancel/reschedule a VC?
If for any reason you need to cancel/reschedule a confirmed video conference, we suggest you do it at least 24 hours before the start of the VC, else cancellation/ rescheduling charges, as applicable, will be levied.
It is advisable to minimise last minute rescheduling of video conferences, as we may not be able to accommodate your request due to unavailability of VC rooms and/or resources.
I haven’t quite finished my meeting. Can I extend the video conference?
Extending the duration of an on-going video conference is subject to the availability of rooms and resources. You will need to put in an extension request by contacting the Reliance World VC Coordinator. Extensions are in slabs of 30 minutes and multiples thereof.
Can I hold a video conference from my office?
Yes. Reliance World offers Managed Video Conferencing Services (MVCS) for organisations that are heavy users of VC and who want a video conferencing facility in their premises. The infrastructure is installed in your office premises and, as the name suggests, is managed by Reliance World.
I have a Web based chat application on my PC. Can I use this to take part in a Video Conference?
Web based Messenger services like Yahoo Chat, MSN Messenger, Google Talk, RediffBol, etc., are not a standards based video conferencing protocol and hence do not produce or support the quality of video that the standards based systems do.
However, you can participate in a Reliance World video conference from your PC using CamferencePlus . CamferencePlus, backed by Reliance’s broadband connectivity, ensures the transmission of clear videos and uninterrupted audio.
You can also participate in a Reliance World video conference from your office, home or while on the move using Polycom PVX. What should I wear in a video conference?
Formal wear in dark colours looks good on video. It is advisable to avoid flashy colours and complicated patterns.
